File: *How do I replace or update a file that is already linked in my course?

Edit File

The process for replacing or updating an existing file in your course depends on its format (non-HTML or HTML) and whether you want to replace the existing file or add the new file but keep the old file.

Role(s) Needed: These instructions apply to Section-level Designers.

Non-HTML (.doc, .ppt, .xls, .pdf, .txt, etc.)

If you updated a non-HTML file (e.g., Word file) that is already linked on a page or folder in your course, take either of the following options to ensure that students see your latest updates:

  • OPTION 1: To replace the existing file and preserve the link, go to the File Manager and upload and replace the file from there. When prompted, select the Replace option.   In all places in the course where a link to that file exists, clicking on that link will open the file and reflect your latest updates. See the File Manager folder in this knowledge base for details on uploading files within the course File Manager.
     
  • OPTION 2: To retain the previous version of the file and add the new updated file, from the course Build tab, use the Add File > Browse for Files feature and upload the file using the My Computer applet. This option does NOT replace the older file.  The system creates an additional link and appends a 0 (zero) at the end of the name for the second version, a 1 (one) for the third version, a 2 (two) for the fourth version, etc. For example:

To remove the link to an older version, click the down arrow  icon next to the link name and select  Remove Link. Click OK on the confirmation message and the page refreshes with that link no longer available. However, the file itself still exists; go to File Manager to delete the file.  See the File Manager folder in this knowledge base for details on deleting files.

HTML (.htm and .html)

If you need to update an HTML file that is already linked on a page or folder in your course, take either of the following options to ensure that students see your latest updates:

  • OPTION 1: To replace the existing file and preserve the link, you can edit HTML files right within the course. Click the down arrow  icon next to the link name and select  Edit Properties.  For HTML Creator, click the Enable HTML Creator button.

    If this is the first time you have turned on the HTML Creator, it may a few seconds to load because the system needs to verify that you have the Java plugin installed on your computer.

    If the HTML Creator doesn't load (you may see a red X), you need to install Java.  Reference the articles on Java in this knowledge base for further details.

    Make your changes. For details on the editing options, see the HTML Creator folder in this knowledge base. Click Save and now in all places in the course where a link to this file exists, clicking on that link will open the file and reflect your latest updates.


     
  • OPTION 2: If you already made changes to the HTML file offline in an HTML editor, to replace the existing file and preserve the link, go to the File Manager and upload and replace the file from there.  In all places in the course where a link to that file exists, clicking on that link will open the file and reflect your latest updates. See the File Manager folder in this knowledge base for details on uploading files within the course File Manager.
